Privacy Policy

Polery (“we”, “us”) is a small studio that rebuilds websites and syncs online listings for local-service businesses in the United States. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. By using polery.com or buying a Polery service, you agree to this policy.

1. Information we collect

You provide directly: business name, your name, email address, phone number, current website, services you offer, photos and other materials you upload, and anything you send us by email, WhatsApp, or our intake form.

Payment information: when you buy a Polery service, payment is processed by our Merchant of Record (see §4). We receive your name, email, billing address, and order details from the payment provider, but we do not store or see your full card number or CVC.

Public business data: for free diagnoses and demo builds, we may collect publicly available information about your business — Google Business Profile details, Google/Yelp/Facebook reviews, photos, and listed contact info — to prepare drafts. We disclose this in our outreach.

Automatic data: when you visit polery.com, Cloudflare (our host) logs basic request data such as IP address, browser type, referrer, and pages requested. We do not use third-party analytics, advertising trackers, or behavioral cookies.

2. How we use it

  • To answer your questions and prepare a free 1-page diagnosis
  • To deliver a website, video, and listings sync you have paid for
  • To send transactional emails (order confirmations, project updates, fix-window reminders)
  • To honor opt-out, unsubscribe, deletion, and refund requests
  • To keep basic records required by tax authorities and our payment processor
  • To improve our work in aggregate (e.g., learning which industries convert)

3. Legal basis (GDPR / UK GDPR)

If you are located in the EU/UK, our lawful bases are: (a) contract — to deliver work you have paid for; (b) legitimate interest — to respond to inquiries, run a small business, and protect against fraud; (c) consent — for any optional communications you opt into; (d) legal obligation — for tax and accounting records.

4. Who we share it with (service providers)

We use a small number of trusted providers to operate Polery. They process data on our behalf under their own privacy policies:

  • Creem (Armitage Labs OÜ, Estonia) — our Merchant of Record for checkout, payment processing, refunds, tax remittance, and chargebacks. Charges appear on your statement as CREEM.IO or CREEM* POLERY.
  • Cloudflare (United States) — website hosting, DNS, and email routing for [email protected].
  • Resend (United States) — transactional email delivery.
  • Google — we use the Google Places API to look up public business details when you provide your Google profile URL.

We do not sell, rent, or trade personal information. We may disclose information if required by valid legal process or to protect the rights, property, or safety of Polery, our customers, or others.

5. International data transfers

Polery operates from the United States. Our Merchant of Record (Creem) is in Estonia (EU). When you buy from us, your payment data is processed in the EU/US under appropriate safeguards. By using Polery, you consent to this transfer.

6. Retention

We keep inquiry and diagnosis records for up to 24 months after last contact. Paid project records and tax-related records are kept for at least 7 years to satisfy US recordkeeping rules. Public-business research we collected before reaching out is deleted on request or when the outreach window closes (whichever comes first).

7. Your rights

You can request, at any time, by emailing [email protected]:

  • A copy of the personal information we hold about you
  • Correction of inaccurate information
  • Deletion of your information (subject to tax-retention rules above)
  • Export of your information in a portable format
  • Opt-out of any future outreach (also via the unsubscribe link in any cold email)

California residents have additional rights under the CCPA, including the right to opt out of any sale of personal information — we do not sell personal information, so this right is moot, but the request mechanism is the same as above.

8. Cookies

polery.com itself does not set tracking cookies. We do not run Google Analytics, Meta Pixel, or any third-party advertising or analytics scripts. Cloudflare may set short-lived security cookies needed to keep the site safe from abuse. The Creem checkout page sets its own session cookies — see Creem’s privacy policy.

9. Children

Polery serves businesses, not consumers under 13. We do not knowingly collect information from children. If you believe a child has provided information, please email us to have it deleted.

10. Security

We use TLS (HTTPS) for all data in transit, store working files in access-controlled cloud storage, and only share access with people who need it to do the work. No system is perfectly secure; if you believe your data has been exposed, please email us right away.

11. Changes to this policy

If we update this policy, we will update the “Last updated” date above. Material changes that affect how we use existing personal information will be communicated by email to active customers.
